Sort Measures and Dimensions

You can sort measures and dimensions in charts, or you can use Break Grouping to change how measures and dimensions are sorted in a chart with multiple dimensions on the categories axis.

You can specify the sort order for data in your chart for measures and dimensions: alphabetical ascending or descending, highest to lowest, and so on. You can even sort on multiple dimensions within the chart.

Note

While you can sort your data on multiple dimensions, you can't sort on dimensions and measures together, and you can only sort on one measure at a time.

How to Sort Measures and Dimensions in a Chart

  1. On a canvas page, select a chart.

  2. From the action menu () select Sort.

  3. Select the measure or dimension you want to sort and then choose one of the following options:

    • Direction: choose Sort Ascending, Sort Descending, Highest to Lowest, and so on.

    • Add Custom Order: in the dialog box, rearrange the members into the desired order.

  4. To sort on a measure that isn't included in the chart, select Advanced Sorting, and then choose a measure from the list.

How to Apply a Custom Sort Order

Sometimes neither ascending or descending (or highest to lowest) sort will give you the results that you want. In those situations, you can create a custom sort order.

Example
You have a chart that you would like to sort in the following way:
  • Very High
  • High
  • Medium
  • Low
  1. On a canvas page, select a chart.

  2. From the action menu () select Sort, select the dimension that you want to sort, and then select Add Custom Order.

  3. In the Edit Member Order dialog box, provide a name for the custom sort.

  4. Drag the members to rearrange them.

  5. (Optional) Select Preview to see how the members would be rearranged.

  6. When you are finished, select OK.

The following options help you find members to use in your custom sort.

  • Search member: The member name will be highlighted in the list.

    For multiple members that contain the same word, a number is added to the search results.

    For a flat presentation, the search does the following:

    • If the member is further down, the search will scroll to that member and then highlight it.

    • All matching members will be highlighted and the search scrolls to the first matching member.

  • All: Shows all the data in the chart for the dimension.

    For hierarchical data, it shows the top level of the hierarchy.

  • Visible: Shows what is currently visible in the chart for the dimension.

    If you've drilled down in a hierarchy, you can only rearrange the members in the visible drill level.

    Restriction

    When you use Rank to show the top N values, the chart will appear to have fewer visible members. However, the custom sort order visibility is not affected by the ranking order, which means that there may be more than N members in the Edit Member Order list.

Manage Custom Sort Orders

You can create multiple custom sort orders for each dimension in your chart, and you can apply one custom order per dimension.

To switch between custom orders in a bar chart, do the following:
  1. Select Start of the navigation path (More Actions) Next navigation step SortEnd of the navigation path.

  2. Select the dimension and then select the custom order.

To modify a custom order, do the following:
  1. Select Start of the navigation path (More Actions) Next navigation step SortEnd of the navigation path.

  2. Select the dimension and then select the edit icon () for the custom order.

  3. When you've finished making changes, select OK.

How to Use Break Grouping in a Chart

When you have multiple dimensions on the categories axis, use Break Grouping to ignore the grouping order and change how the dimensions and measures are sorted.

The Break Grouping option is available to use on a multi-dimension chart if either a measure or the innermost dimension is sorted.

To enable or disable Break Grouping, from the chart action menu () select Start of the navigation pathSort Next navigation step Break GroupingEnd of the navigation path.
