Email Notifications

Assignees and reviewers of calendar events receive email notifications from SAP Analytics Cloud. Use this reference to find out when notifications are sent.

Action-based Notifications

Notifications are sent when the owner of a calendar event performs the following actions:

Activate and notify

Informs the users that they have been assigned to a task or process and tells them which role they have.

Note

If the owner activates a process with child events, and a person is involved in the process as well as in the child events, this person will receive only one notification containing a list of all relevant events.

Update and notify
  • When the owner has added users to the event, they get an invitation email.

  • When the owner has removed users from the event, they get an email informing them that they have been removed.

  • When the owner has changed the assigned users, they get the information that they are no longer responsible, or that they are now responsible for the event.

  • Users that have not been changed get a notification that the task or process has been updated. The email contains a list with all updates.

Start permission request The assignee is notified with the ask to give their consent for running an automatic task using their permission.
Immediate reminder Reminder notifications are sent to all users that have not yet finished their task or process.
Cancel

Assignees, owners, and reviewers get notified that their task or process has been canceled.

Note

If the owner cancels a process with child events, and a person is involved in the process as well as in the child events, this person will receive only one notification containing a list of all relevant events.

Suspend Assignees, owners, and reviewers get notified that their task or process has been suspended.
Resume Assignees, owners, and reviewers get notified that their task or process has been resumed.
Notifications are sent when the assignee of a calendar event performs the following actions:

Submit
  • If a task has a reviewer, the reviewer gets a notification that the task is open, and the other assignees get a notification that the task is completed.

  • If a task has no reviewer, the owners get notified that their task has been completed.

  • With processes that have an assignee, the owners get notified that their process has been completed.

  • With parent processes that don't have an assignee, the owners get notified that their process has been completed once the last direct child event has been submitted or if it consists of canceled direct child events or automatic tasks only.

Decline

Assignees, owners, and reviewers get notified that the task is canceled.

If the task is an automatic task and the assignee declined the permission request, the task is set to On Hold. The owner can assign someone else.

Agree

Applies to automatic tasks requesting the assignee to grant permission.

Once the assignee agrees, the owners are notified that the task is resumed.

The assignee of an automatic task doesn't grant permission before the task starts. The owners are notified that the task is set to Canceled.
Notifications are sent when the reviewer of a calendar event performs the following actions:

Reject The assignees get notified that their task or process has been reopened.
Approve
  • If the task has one review round, the owner gets a notification that the task is completed.

  • If the task has multiple review rounds, the reviewers of the next round are informed that the task is open now.

  • If the task has multiple review rounds and this was the last review round, the owner gets a notification that the task is completed.

Time-based Notifications

Time Settings Email Notification
The due date is reached.

Assignees who haven't finished their work get notified that their task or process is overdue.

Composite tasks: Notifications are sent respectively to the assignees and the reviewers and will only inform the respective role.

A reminder is set and the specified time is reached.

Assignees who haven't finished their work get notified that their task or process is due soon.

Composite tasks: Notifications are sent respectively to the assignees and the reviewers and will only inform the respective role.

An automatic task requesting permission from an assignee is inactive and the start date is approaching.

The owners are notified that the start date is approaching, reminding them to activate the task, so the assignee can grant permission in time before the task starts.

Note

Note that the notification is only sent if a reminder is set.

Notifications for Input Tasks

Notifications are sent when the person who created the input task performs the following actions:

Send All assignees get an invitation to the task.
Approve all All assignees whose work was set to a final status (Successful or Canceled) get a notification.
Cancel All assignees get a notification that the task has been canceled.
Change user The affected users (the newly added user as well as the removed user) get informed about the change.
Delete user The removed user gets informed of their removal from the task.
Approve (single user)
  • If the assignee has submitted data, the assignee gets a notification that the task has been completed.

  • If the assignee has declined the task, the assignee gets a notification that declining the task has been accepted.

Reject (single user)
  • If the assignee has submitted data, the assignee gets a notification to check the data entry again.

  • If the assignee has declined the task, the assignee gets a notification that the task has been reopened.

Notifications are sent once the assignee of an input task performed the following actions:

Decline The creator gets the information that the assignee will not work on the task.
Change user Both the creator and the newly added assignee are notified about the change.
